Tasks & Responsibilities

  • Book internal/external meetings for the Executive team, prepare meeting agendas, take and distribute meeting notes.
  • Maintain complex and changing calendars of the Executive team members.
  • Monitor COO’s and CCO’s Inboxes in accordance with their needs.
  • Support the Executive team in booking travel arrangements and facilitate travel arrangements for the guests coming to Serbia.
  • Attend different internal and external meetings if there is a need.
  • Support the management on the internal projects.
  • Work with the Marketing Manager on coordinating the marketing events that the Executive team attends.
  • Update policies, processes, and procedures on the request of the Executive team.
  • Communicate with internal and external parties for the needs of the company management.
  • Prepare letters, notices, proposals, and other documentation upon the request of the Executive team.
  • Receive, archive, and forward confidential documentation and data upon the request of the Executive team.
  • Organize documents (archiving, photocopying, scanning, distribution).
  • Research and present different options for a diverse range of topics, to support the Executive team’s decision making.
  • Organize and plan all company outings and events for the needs of team in Belgrade.
  • Maintain professionalism and strict confidentiality.
  • Ensure that the Executive team meets deadlines for different administrative task.
  • Perform other ad-hoc administrative tasks upon request.

Skills and Competences

  • 3+ years of experience in an administrative role.
  • Reliability and discretion: ability to handle confidential matters.
  • Good communication skills in English, both verbal and written (mandatory).
  • Proficient user of MS Office (MS Outlook & Calendar in particular).
  • Communication, negotiation, and relationship-building skills.
  • Organizational skills.
