Role summary

As the HR Assistant – Office Assistant, you will be providing administrative support on tasks related to maintaining personnel records, managing HR documents, and updating databases. In order to maintain the smooth operations of the company, we are in need of a well-organized individual to handle day-to-day operations in an efficient and productive manner.​

Tasks & Responsibilities

  • Maintains, processes and updates human resources files, records, and documentation.;
  • Drafting of the Employment Agreement, monitoring of the expiration of the Agreement and issuance of accompanying personnel documentation;​
  • Maintains the integrity, confidentiality and availability of human resources files and records;​
  • Performs periodic checks of HR files and records to ensure that all required documents are collected and filed appropriately;​
  • Handles employee requests related to human resources issues, rules and regulations;​
  • More complex issues escalate at a higher level;​
  • Implements HR policies and procedures and participates in company policy and legal compliance reviews and audits;​
  • Organizes and keeps records related to health protection and safety at work;​
  • Preparation and submission of documentation for employee registration/deregistration;​
  • Announcement of job vacancies;​
  • Performs candidate selection;​
  • Drafting of general and individual acts;​
  • Taking care of measures and level of employee satisfaction and identifying areas that require improvement;​
  • Work on team development;​
  • Work and communication with the company’s senior management;​
  • Caring for interpersonal relations of employees;​
  • Conducting trainings;​
  • Designing and implementing new rules and procedures for better work and development in the company;​
  • Taking care of compliance with the company’s policy and acts that have been adopted, as well as ensuring that they are in accordance with the currently valid labor law;​
  • Dealing with disciplinary processes, making decisions and solutions in the field of human resources;​
  • Provide assistance to the Human Resources Manager with basic duties and administrative tasks such as payroll preparation, data entry, employee assistance and recruiting;​
  • Other tasks at the behest of the superior.​

Skills and Competences

  • Minimum high school diploma​;
  • Prior related experience in HR administration;
  • Exposure to labor law and employment equity regulations;
  • Effective HR administration and people management skills; ​
  • Full understanding of HR functions and best practices​;
  • Excellent written and verbal communication skills​;
  • Highly computer literate with capability in email, MS Office, and related business and communication tools​;
  • Excellent English language knowledge​;
  • Ability to accurately follow instructions​;
  • High attention to detail​;
  • Organizational skills​;
  • Critical thinking and problem-solving skills.
